The following standards apply to all goods stored at Boxme warehouses in Vietnam. Goods that do not meet these criteria will be subject to additional processing (with fees) before storage or may be rejected.
For products requiring special storage conditions beyond our service capacity or goods with unclear origins, we reserve the right to refuse warehouse entry.
General Standards:
- New products with original labels and manufacturer seals.
- Expiry date of at least six months remaining; products with less than six months require seller confirmation.
- Goods must have complete invoices and documents.
- Products must have a Vietnamese label indicating origin and composition.
- Goods must have a barcode.
- 100% of goods must be counted and visually inspected.
- Goods must not be in the prohibited business category.
- Products with different expiration dates must be packed separately. If mixed dates are packed in the same box, a packing list must be attached outside, and date groups should be separated for easy identification.
- Physical combo products with expiration dates printed on each item inside must have an additional date label on the outer box.
Product Classification Standards: #
- Type A: New products with intact appearance, no dents or damage.
- Type D1 (Damaged Level 1): Slightly dented or scratched packaging, but inner product (seal, label) remains intact.
- Type D2 (Damaged Level 2): Damaged packaging, missing seals or labels, partial or full loss of accessories, but the main product remains intact.
- Type D3 (Damaged Level 3): Inner product is damaged, defective, scratched, or deformed.
Shelf Storage Standards: #
- Goods must be stored in carton boxes or manufacturer’s packaging to prevent dust.
- Fabric or dust-prone materials must be wrapped in plastic bags before storing them.
- Small items should be grouped in packs of 5 or 10 for easy counting (using rubber bands or straps).
- Items must be sorted by expiration date and not stored in the same location with different expiry dates.
- Products must be neatly arranged according to manufacturer guidelines to prevent leakage or damage.
- Items should be placed on shelves or pallets.
Specific Product Standards: #
1. Cosmetics & Functional Foods #
a. Products with pumps, twist caps, or flip-top lids
For this type of product, ensuring that the item does not have its lid come off or leak is crucial to preventing damage during transportation and avoiding any impact on other goods in the order.
Requirements: The product must have its lid/spout sealed or be wrapped with shrink film before being stored in the warehouse.
- For fragile components (e.g., rotating spouts, trigger sprayers, or snap-on caps): Use shrink film or clear tape to prevent them from loosening or rotating during transportation

Note: For flip-top lids and pump caps products, customers should monitor the breakage rate to determine whether additional reinforcement is needed when stocking. This is not a mandatory requirement, but please note that these products may have a risk of breakage during transportation.
b. Imported Goods with Foreign Labels
– Requirements:
Imported goods must have a sub-label in Vietnamese before being stored, while retaining the original label.
Standards for Supplementary Labels:
- The size of letters and numbers must be large enough to be read with the naked eye.
- The color of letters, numbers, drawings, images, symbols, and signs on the label must be clear and easily distinguishable.
- The label must contain mandatory information in Vietnamese, including: Product name, Name and address of the organization or individual responsible for the product, Country of origin, Usage instructions and safety warnings (if applicable), Manufacturing date or expiration date, which must be clearly displayed, Net weight or volume.
Label Placement:
- The placement of the label must be confirmed by the customer or the operations department.
- The label must be applied in a position where it can be easily identified and read without needing to remove any part of the product or packaging. It must not obscure mandatory information on the original label.
- If the outer packaging cannot be opened, the label must be affixed to the outer packaging with all required information clearly presented.

2. Household and Electronic Products #
a. Goods with Handles (Fragile, Easily Scratched, Without Manufacturer’s Box).
Requirements:
- Products must be inspected before storage to ensure they are intact, free from scratches, dents, or dirt.
- Products must be tightly wrapped in bubble wrap or PE film (at least two layers) to prevent exposure, including handles of pans, pots, etc.
- A label and barcode must be applied after classification and wrapping.
- Products must be packed into a carton box.

b. Goods Pre-Packaged by Manufacturer. Boxme is only responsible for shipping these items and not for additional packaging.
Requirements:
- he product’s exterior must remain intact, new, and free from dents, wet, or damage.
- Internal packaging must include impact-resistant materials (foam, padding, stiff paper, etc.).
- The box must be checked to ensure it is sturdy and undamaged.
3. Fashion Items, Footwear, Mattresses, Bedding Sets #
Requirements:
- Products must be wrapped in a sealed box/plastic bag with no openings to prevent exposure, dust, or insect intrusion.
- The product’s appearance must remain intact and new, without stains, dirt, torn packaging, or damage.

4. High-Value Goods (Electronics, Home Appliances, etc.) #
Requirements: #
- Products must have intact labels and seals.
- The packaging box must be in new condition (no scratches, dents, or tears).
- Read external warnings (if any) before moving the goods to storage to prevent risks.

5. Physical Combo Products #
Requirements:
- The receiving team must be provided with detailed instructions (content, images, videos) on how to pack the combo, including label placement, packaging requirements, and attached accessories before processing.
- Combo packing must be fully completed before storing and placing on shelves/pallets to avoid confusion.
6. Books/Publications #
Requirements:
- Books must be clean, undamaged, and without curled edges.
- Books must be sealed in plastic wrap, stored in their original box, or packed in PE film to prevent dust accumulation during storage and packing.

7. Glassware, Ceramics (Fragile Items) #
a. Fragile Products (Glass, Ceramics, Brittle Plastic Items).
Requirements:
- Items must be pre-packaged and in intact condition. If the packaging appears suspicious (old, torn, or dented), an internal inspection is required.
- Inside packaging must include bubble wrap or foam around the product.
- Soft paper must be placed inside hollow products.
- For product sets: Each item in a set must be wrapped separately in soft paper, fabric, or bubble wrap. Products stored in the same box must be separated to prevent impact.

b. Bottles and Containers with Detachable Lids
Requirements:
- The lid and product must be wrapped separately with bubble wrap, soft foam, or paper.
- For products with pumps or press caps, the nozzle must be secured with soft paper before wrapping with PE film.
8. Products Stored as Full Boxes & Individual Units #
Requirements:
- For products stored in both full-box and individual-unit formats, a distinguishing label must be applied to avoid confusion in storage.
Example: A label on a full box containing 1,000 individual items should say: “This is a set, do not separate.”
- Products stored in full-box format must have a new barcode for inventory management (separate from the individual product barcode).

9. Dry Food, Confectionery #
Requirements:
- Products must be new, with intact packaging and manufacturer labels.
- Must have at least 6 months of shelf life remaining. If under 6 months, seller confirmation is required.
- Must be sealed in a bag, air-tight container, box, or bottle to prevent exposure.

10. High-Value Goods #
Requirements:
- New condition only.
- Packaging must be undamaged (no dents or scratches).
- Labels must be clear and intact (no torn labels).
- Products must be neatly packed in cartons, not left outside, ensuring no dust, misalignment, or compression damage during storage.
