Policy of receiving and operating high value goods

1. Objectives #

  • Ensures asset safety for Boxme and Boxme’s clients.
  • Strictly control the process of receiving – storing – handling – handing over high value goods.
  • Avoid risk of loss, fraud, loss.

Note:

Boxme does not provide high value goods handling service as defaultfor all customers. All high value goods operation requirements must be approved prior to operation. High value goods operation surcharge (Protect+ service) will be applied in this case.


2. High value goods definition #

High value goods include but are not limited to:

  • Phones, watches, jewelry, technology components, high-end cosmetics…
  • The products have value (RSP):
    • Vietnam: ≥ 5 million VND / unit of product.
    • Thailand: ≥ 10,000 THB / unit of product.
    • Philippines: ≥ 6,000 PHP / unit of product.
  • Products with a high risk of theft (small but high value), require special controls.

3. The process of receiving high value goods #

3.1. Notice before delivery #

  • Customers must give notice at least 24 hours before sending the goods to the warehouse for high value shipments.
  • Information includes: SKU list, quantity, value, product image , packaging specifications.

3.2. Separated receiving area #

  • There is a separate control area, 24/7 under CCTV monitoring.
  • Only authorized personnel are accessible.
  • Co-inspection the appearance, and quantity of 100% of the products in stock and confirm the results immediately upon receipt.

3.3. Return inspection #

  • Check the quantity, pictures, appearance of products under the camera.
  • Make a joint inspection record certified by 2 parties (Boxme and the courier unit).

4. Storage process #

  • Store in separated areas : with fingerprint lock/seal, access control with goods with high risk of loss.
  • Continuous surveillance camera, video storage for at least 30 days.
  • Weekly periodic inventory check.

5. High value order processing #

  • Pick up and pack by authorized senior personnel.
  • Packaging and reinforced materials are reinforced more during the handling of goods (which can cause over weight).
  • Packaging cameras and security cameras are maintained in parallel 24/7 for high value packaging areas.
  • Transferring to the courier unit with the handover form & signature.
  • Goods are purchased with mandatory insurance (price declaration) mandatory throughout the transportation process.

6. Internal control & security #

  • The list of personnel to be accessed must be approved by the operations manager .
  • Do not use personal devices (phone, camera, USB…) in high value goods handling area.
  • Violations of privacy regulations are dealt with in accordance with internal disciplinary regulations.

7. Troubleshooting #

  • All incidents related to shortage, damage, loss of high value goods must be reported within 2 hours from the time of detecting.
  • Have incident records, scene images, camera extraction and handling/accountability plan.

8. Training & Periodic Review #

  • Organize quarterly periodic training for related personnel.
  • Review the policy of high value goods handling and update according to actual activities & feedback from clients.

Therefore, Boxme operates high-value goods in the logistics center to ensure overall consistency in providing the full range of services required for customers. However, high-risk goods require us to invest in tighter and safer operating processes.

Clients are advised to buy fire insurance in this case to protect against force majeure incidents.
