Boxme Product Policies
Effective for all inbound inventory received and stored at Boxme Fulfillment Centers.

1. General Principles
Boxme only accepts inventory that complies with inbound standards to ensure storage quality and operational efficiency.
Goods that do not meet these standards are:
- Subject to rectification services (with additional charges), or
- Rejected from storage.
Boxme reserves the right to reject:
- Products without clear origin or required legal documentation.
- Items requiring special storage conditions beyond our standard service scope (e.g., refrigerated or frozen goods).
- Products listed under prohibited or restricted commodities per local laws and Boxme’s product compliance policy.
2. Mandatory Inbound Requirements
Requirement | Description |

New Condition | Items must be brand new, with original manufacturer packaging, seals, and labels intact. |
Expiration Date | Products must have at least 6 months remaining shelf life. Exceptions must be pre-approved with seller confirmation. |
Documentation | Complete commercial invoice, shipping label, and inbound request (ASN) must be provided. |
Sub-Label | Imported products must have a compliant local sub-label displaying required information. |
Barcode | All SKUs must have a scannable barcode (EAN/UPC or internal code). |
Inspection | All inbound items are subject to quantity verification and visual quality inspection. |
Prohibited Items | Items must not fall under restricted categories (see Boxme Prohibited List). |
Batch Separation by Date | Items with different expiration dates must be packed separately. If mixed, include an external packing list and physical separation (e.g., film wrap/dividers) for easy identification. |
External Expiration Label | If expiration date is only printed inside packaging, an additional date label must be applied externally. |
3. Product Classification by Physical Condition
Type | Description |
---|---|
Type A | New, undamaged, meets all visual and packaging standards. |
Type D1 (Minor Damage) | Slight box dent/scratch; internal product seal remains intact. |
Type D2 (Moderate Damage) | Significant box damage, missing seal or parts, but product still functional. |
Type D3 (Severe Damage) | Internal product is broken, deformed, malfunctioning, or visibly defective. |
4. Storage & Shelf Placement Standards
- Goods must be packed in cartons or manufacturer boxes to avoid exposure to dust or moisture.
- Fabric or dust-prone materials must be wrapped in plastic bags.
- Loose items should be grouped in bundles of 5 or 10 units using rubber bands or ties for easy counting.
- Items must be separated by expiration dates and not mixed within the same location.
- Products must be placed in an upright or designated orientation to avoid leakage or damage per manufacturer handling instructions.
- Inventory must be placed on racks or pallets – storage directly on the floor is not allowed.
5. Product-Specific Handling Requirements
5.1. Cosmetics, Health Supplements
a. Items with Pump Caps, Twist Tops, or Dispensers
- Products must be sealed with shrink film or tape to prevent leakage or accidental opening during transportation.
- For delicate dispensers (e.g., spray pumps), secure with additional protective material (e.g., shrink wrap, bubble wrap).
Note: For flip or twist caps, merchants are advised to monitor breakage rates and consider reinforcing packaging, though this is optional.
b. Imported Goods with Foreign Labels
- Must have compliant Vietnamese sub-labels applied before storage.
- Label Requirements:
- Clearly legible font size and color.
- Mandatory information in Vietnamese: product name, responsible company, origin, usage instructions, warnings, production/expiry dates, net content.
- Must not obscure original label content.
- Label placement must be confirmed with the merchant or Boxme operations team.
5.2. Home Appliances, Consumer Electronics
a. Products with handles or fragile parts (not in original boxes)
- Must be visually inspected and confirmed intact before storage.
- Wrapped in at least two layers of bubble wrap or PE wrap to fully cover exposed parts.
- Barcode must be applied after wrapping.
- Final packaging must be in cartons.
b. Factory-sealed boxes (prepackaged by manufacturer)
- No repackaging required. Boxme assumes transport-only responsibility.
- Items must be:
- Visually undamaged and clean.
- Protected internally (e.g., with foam, inserts).
- Sturdy and securely sealed.
5.3. Fashion, Apparel, Footwear, Bedding
- Must be sealed in transparent plastic or boxes; items must not be exposed.
- Products must be clean, undamaged, and have no visible stains or wear.
5.4. High-Value Products (Electronics, Appliances)
- Must be brand new and sealed.
- External packaging must be intact with no dents or tears.
- Must be handled carefully per warning labels; Boxme staff will review cautionary markings before storage.
5.5. Physical Combo Sets
- Combo configuration (including position of labels, components, accessories) must be clearly documented in text, images, or video in advance.
- Combo items must be pre-packed and complete before being received and placed in storage.
5.6. Books & Printed Materials
- Books must be clean, unbent, and not torn.
- Seal in shrink wrap or PE bags to protect against dust or handling damage.
5.7. Fragile Items (Glass, Ceramics, Brittle Plastic)
- Must arrive in factory-sealed boxes or be safely packaged.
- Items must be cushioned with foam, bubble wrap, or crumpled paper inside and out.
- Hollow items should be stuffed with soft padding.
- Sets with multiple fragile components must have each item wrapped individually and separated with dividers.
5.8. Bottles with Detachable Caps
- Caps must be packed separately and cushioned.
- For pump/twist nozzles: secure with soft paper and wrap with PE film.
5.9. Products Stored as Full Set and Loose Units
- If an item is stored both as full boxes and individual units:
- Label full cartons with a “DO NOT BREAK” sticker.
- Apply a new barcode for full-set inventory, different from individual product codes.
5.10. Dry Food, Snacks, Packaged Goods
- Must be in new, sealed condition with no packaging damage or stains.
- Minimum shelf life of 6 months (unless seller has approved shorter dates).
- Products must be sealed in bags, pouches, jars, or rigid containers – no exposed contents allowed.
6. Final Notes
- Non-compliant products will be flagged for merchant action or subjected to repacking services (fees apply).
- Repeated non-compliance may result in inventory rejection or service restrictions.
- Merchants are advised to audit goods before shipping to any Boxme fulfillment center.
