[Boxme Annoucement]: Fulfillment Service Agreement 2023
Boxme always wants customers to feel safe when using our service so we strive every day to optimize the operation process of our service. For the convenience of sellers, Boxme would like to inform customers our service agreement in 2023.
1. Operating Criteria of E-commerce platforms in Vietnam
To achieve high business efficiency on e-commerce platforms, sellers need to understand the criteria for operating e-commerce platforms such as:
- Cancellation rate
- Package not ready (PNR)
- Shipped on time (SOT)
- Fast Fulfillment Rate
- Return Rate
- Priority shipping rate
Each e-commerce platform such as Shopee, Lazada, Tiktokshop, or Tiki has its own operating criteria. To catch up with the operation and fulfillment time to have the most suitable retail strategy, the seller can base on the bellow chart.

2. Boxme Service Agreement
Since February 2023, Boxme will apply a new Commitment to services: Outbound, inbound, inventory management, and order fulfillment quality.

I. Outbound
Normal orders: Boxme commits packing in 6 business hours from order create time and shipped on time in 24 hours from order create time.
Fulfillnow: Boxme commits packing in 45 minutes with B2C orders and 2 business hours with B2B orders from order create time.
Priority: Boxme commits packing in 2 business hours from order create time. If orders are created before 2PM, Boxme will hand over before 8PM the same day. If order are created after 2PM, Boxme will hand over before 12AM the next day.
B2B: Boxme commits packing in 6 business hours from order create time and will hand over 24 hours from order create time.
II. Inbound
For products requiring special storage conditions beyond our capability or smuggled goods, goods with no clear origins, goods that are not licensed by regulatory authorities, we reserve the right to refuse to store these products.
Goods will be loaded into Boxme’s warehouse within 48 hours since the shipment status is changed to “Received at the warehouse” .
For bulky, specific products that require special support, please contact our sales department or send inquiries to support@boxme.asia for support.
III. Inventory Management
Inventory Accuracy: Periodically check the inventory once a quarter and compare the inventory difference between the system and the actual. This is including cases of damage when stored at the warehouse.
Inventory Report: Boxme will send inventory reports of aging stock, expiry reports, and slow-moving once a week.
IV. Order fulfillment quality
Orders are packed properly: Boxme’s KPI will calculate based on wrong/missing items and wrong packaging standard.
Returns/Unknow parcels are provided in accordance with the regulations: Boxme will calculate based on claims such as: providing missing order information or late delivery of order information
Returns inbound: Boxme will handle problem in 24 hours
3. Conclusion
Boxme always makes constant efforts to improve service quality, applies automatic indexing systems to fully transparent the operation process, and listens to suggestions from customers.
In 2023, in addition to announcing a new service performance index, we will apply ISO 9001 standards and processes to ensure stable and seamless operation for customers.

In detail, starting from January 06, 2023, Boxme Binh Tan will receive the inbound shipment and process fulfillment activities with the same operation process and working time as in other Boxme warehouses in Vietnam.

Boxme’s new warehouse is at 225 Ma Lo, Binh Tri Dong A, Binh Tan District, Ho Chi Minh City. This prime location is 4 km from National Highway 1A and about 15 minutes from Vo Van Kiet Boulevard, forming a golden triangle with Boxme Tan Thuan and Boxme Tan Binh.
2. Facilities
Boxme’s Fulfillment Center in Binh Tan has an area of up to 4000m2 with spacious modern facilities, suitable for both trucks or containers to be parked right at the warehouse door, making it easy to import and export goods. With a large area with a full system of cool storage, Boxme Binh Tan will definitely be the preferred choice for brands and retailers with special products such as cosmetics, functional foods or pharmaceutical products.
3. Operating time
Starting from January 6, 2023, Boxme officially received import and export requests at Binh Tan warehouse
Warehouse operation hour: 8AM-6PM.
Note: Boxme Warehouse works every day of the week from Monday to Sunday.
4. Delivery time
Morning shift: From 11am to 12am.
Afternoon shift: From 16:00 to 18:00.

ANNOUNCEMENT: BOXME merge OSM Exporting Feature and B2B Order Exporting Feature
To simplify and make progress more convenient for customers, since 10/10 BOXME proceed to turn off the feature of creating an OSM application on the system. From now, customers can use creating B2B order feature to draw out from stock. This way not only cut down cost but also normalizes processes.
With B2B orders, we add special packing requirements as soon as the order is created.

Our packaging standards for B2B orders are also improved as follows:
– Products with the brand’s box will be shipped in the original box and not reinforced.
– Products with small sizes and don’t have brand boxes will be packed by BOXME box.
In case the brand’s box is not eligible for shipping according to the company’s standards, customers can request additional reinforcement right at the time create an order. This will help us process the order in accordance with the commitment and BOXME can protect the order during shipping.

Adding shredded paper packaging service
On many special occasions such as Women’s Day, Mother’s Day, Anniversary,.. Or many product lines require special packaging like perfume, wine,.., customers can order BOXME add shredded paper full inside the box. To improve our customer experience, BOXME will add this service in July 2022.
Public price: 2.000 vnđ/ 1 parcel
This service won’t apply to products that are bigger than 30 centimeters.
Adding fragile stamp when packing order
Every product has a fragile appearance, BOXME will automatically stick a fragile stamp on the outside of the parcel so the shipper or any fulfillment center will handle it with care.
Public price: 500 vnđ/ 1 parcel
Adding record packing process service
We are going to upgrade the camera system to have a clear and details video about the packing process. The process will show ways to pack a parcel to increase the probability of winning lawsuits with any e-commerce platform
However, costs will be added to orders that required camera packaging.
Public price: 10,000 vnđ/ an order
We provide within 4 hours since requested
In case have any evidence proving BOXME packs wrongly or we can’t provide a record of the packing process, that makes customer loss, we will make up for this mistake and provide the record for free.
Update system allows for calculating material billing for B2C orders using a variety of packaging materials
Products have to wrap with bubble wrap when packing will have some below options. The system will calculate automatically.
There will be many options for material packing such as:
There are 4 options for material when packing so customers can choose
In case one order has many products and each use different materials to wrap. The system will calculate the cost according to the actual materials used for packing at the warehouse. The system will stick the material code for each order.
There are some special occasions:
- The parcel contains many products which have to wrap with different materials: BOXME Warehouse will pick the most suitable material for packing
- For orders with large products (total of 3 dimensions over 90cm) use bubbles and for small products use boxes: BOXME Warehouse will use boxes for smaller products and then pack bubbles wrap to pack both products. We will charge for this service.
Inventory service on request
We committee every in-stock product stored in the warehouse is always checked at least once 3 months. In case, customers have special requirements about checking inventory over the commit, we will charge a fee allowing the contract. We will depend on the number of employees and time to get a fee.
Moreover, if customers want to check inventory as soon as possible, you can connect with the Customer Service Department for support and expenses outside of working hours.

Boxme product & service update on 08/2022
To optimize the efficiency of our product and service process, BOXME announced that we would update and fix some regulations and policies on 25/07/2022 (apply for any receipt since August 2022).
Regulations and policies about the unknown parcel
BOXME accepts packages that do not have information on the system to return to the warehouse, but the package must ensure the following:
- The external conditions of the goods are intact, fully bill of lading no from the e-commerce trading floor or any carrier. We won’t accept if the parcel’s bill lading is written by hand or have a sign of damage
- The bill of lading needs to be expressed clearly the seller’s name & brand, so we can identify and give information to the customer in any circumstances.
The consignee will responsible for taking pictures and recording the process open the parcel, and taking the minute of the delivery with the shipper. We will inform the customer within 8 hours of working.
With unknown returned orders, we will inform the customer and the customer has to create the returned order on our system within 48 hours. Over the time limit, we will have the right to deal with the parcel and we going to destroy the parcel in the next 7 days.
We recommend that customers need to update the information about the return order and follow right on the system to ensure the process and responsibilities of each part.
Regulations about requirements for inventory and inventory results.
BOXME is committed to checking the inventory at least once every 3 months to determine the actual inventory compared to the inventory on the system. If there are any special requirements or exceeding the commitments, the customer will take a charge.
To send inventory requirements, customers have to send us the plan at least 7 days before to the Customer Service Department and the KAM. We will inform you in 48 hours about warehouse coordination, timing, and processing of your requirements.
Within 48 hours since having results in inventory checking, BOXME will announce and send a materially report to you (which clarifies the arising differences and conduct procedures for compensation or recovery of compensation costs if any).
Add eco-friendly wrapping paper (Honeycomb paper)
To protect the environment and reduce plastic waste, we provide a new type of packaging material, honeycomb paper to help wrap fragile products similar to explosive balls ( air bubbles). However, this is a special packaging material, so there will be additional costs if the brands and customers specifically request it.
The price will be announced in the contract and contact KAM for any details.

To align the storage service, we eliminate the storage fee classification between the multiple variants and the regular stock. Customers only pay 1 type of cost per account configured according to the contract.
The process of canceling orders due to shortage or loss of goods in the warehouse
During the operation of packaging, there were some cases such as the order being pushed down to the stock level, or in fact, damaged/ lost goods were detected during the storage process.
We proceed to confirm the cancellation of the order ( Cancelled due to loss/damage). Otherwise, customers can create another new bill of lading for substitutes to complete the order.

With order cancellation ( Cancelled due to loss/damage), you have to make a complaint report to catch up with the process, and connect together with BOXME Customer Service Department to find out the mistake and fix it.
Otherwise, in order not to generate new orders for these products, customers need to adjust the inventory on the sale channel or adjust buffer inventory according to the BOXME warehouse or Omiseel system equivalent to the damaged/ lost inventory above.
